Willkapacha Experience Booking, Cancellation & Retreat Policy
At Willkapacha Experience, our mission is to provide you with personalized, loving care that supports your spiritual growth and healing journey. We are committed to being as flexible as possible and are happy to accommodate short-notice bookings, provided there is enough time for participants to complete the necessary pre-retreat preparations.
Booking & Payment
To secure your retreat, we kindly request a 50% deposit or full payment. Please note that any transaction fees associated with your payment method are not included in the retreat cost. The remaining balance must be paid in full before the start of your retreat.
Cancellation & Refund Policy
We understand that unexpected circumstances can arise, and we aim to be as fair and flexible as possible.
- Cancellations made one month or more before the retreat start date: 100% refund of the amount paid.
- Cancellations made between 20 and 25 days before the retreat start date: 50% refund of the amount paid.
- Cancellations made less than 20 days before the retreat start date: Unfortunately, no refund can be provided.
Please note that if any tickets, entrance fees, train tickets, transportation, accommodation, or other services have already been purchased or reserved specifically for your retreat, the cost of any non-refundable or non-changeable services will be deducted from the amount to be refunded.
This is because some tickets and reservations cannot be cancelled, changed, or refunded once they have been purchased. We will always do our best to recover or change these bookings whenever possible.
Any applicable transaction or payment processing fees may also be non-refundable.
Rescheduling
If you are unable to attend your retreat due to circumstances outside of Willkapacha Experience’s control, you may reschedule your retreat within one year of your original retreat date, subject to availability.
We will always do our best to accommodate your new preferred dates.
Medical Information & Screening
We encourage openness and transparency. To ensure we can provide the highest level of care, please share any medical conditions and medications you are currently taking before booking so we can guide you appropriately and provide the best possible support during your retreat.
Honesty is essential for your safety and well-being. We kindly ask all participants to answer the health questionnaire truthfully, especially regarding medications, substance use, and trauma history.
While Willkapacha Experience is a sacred and judgment-free space, we must always prioritize the safety and well-being of our participants. Therefore, we reserve the right to decline participation in certain circumstances or for certain conditions, including pregnancy, heart surgery or pacemakers, severe mental health conditions such as schizophrenia or bipolar disorder, and certain blood-related conditions.
We strongly recommend that participants do not stop or change any prescribed medication without the guidance of their own qualified healthcare professional.
If a participant is unable to continue the retreat, or is found to be in possession of prohibited items or substances, no full or partial refund will be provided.
Privacy & Respect
Confidentiality is a cornerstone of Willkapacha Experience. Your privacy and the sacredness of your personal journey are extremely important to us.
We kindly ask all participants to respect one another’s space, needs, privacy, and individual journeys, helping us create a peaceful, safe, and harmonious environment for everyone.
Photos & Consent
At the conclusion of each retreat, we may take group photos to honor the journey and celebrate the shared experience. However, these images will never be shared or posted without your explicit consent.
